Scheduling Administrator

Torrance, CA

Momentum is currenting seeking a Scheduling Administrator. The Scheduling Administrator will collaborate with parents, therapists, and the Director of Occupational Therapy (OT), Physical Therapy (PT), and Speech Therapy (SLP) departments to manage the scheduling of clinic-based therapy sessions for children. This role will also support the maintenance and accuracy of the billing system for Momentum's Pediatric Programs and Services.

Scheduling Administrator Essential Responsibilities: 

  • Manage daily scheduling tasks, including appointment rescheduling, cancellations, location changes, and updates to appointment types, while responding to phone calls and emails.
  • Ensure that all therapy staff schedules in the EMR (Electronic Medical Records) system are accurate and up to date.
  • Coordinate the booking of gym spaces for non-therapy programs and activities.
  • Collaborate with Therapy Leadership to ensure therapists’ schedules align with productivity expectations.
  • Handle rescheduling of canceled therapy sessions.
  • Schedule new clients and provide intake updates on available appointment slots.
  • Assist with scheduling and follow-up for Independent Educational Evaluations (IEE).
  • Enter family information into the EMR system and upload all relevant documents to both the EMR and Common Data client chart.
  • Maintain consistent communication with parents and therapy leadership regarding ongoing scheduling operations.
  • Regularly update client records to keep all system information current and accurate.

Scheduling Administrator Qualifications: 

  • High school diploma or equivalent, required
  • Bilingual in English/Spanish, strongly preferred 
  • Experience working with children with special needs, highly desired
  • Strong attention to detail, organizational skills and ability to prioritize with changing situations
  • Ability to recognize and problem solve 
  • Ability to work in a fast-paced environment
  • Successfully pass all post offer, pre-employment screening requirements, including criminal background check, physical exam, drug screening, and provide proof of eligibility to work in the United States
  • Ability to run, push, pull, bend, squat, kneel, and lift up to thirty-five (35) pounds
